Purpose
of the Post
This
position requires wide-ranging skills and the ability to multi-task in a fast
moving environment. The candidate will require strong administrative, IT,
organisational and communication skills and a good problem solving and ‘can-do’
attitude. Must have good written and verbal skills and the ability to
communicate with people at all levels. Responsibilities will include ensuring
the smooth running of Islam Channel; all HR, Health and Safety and
Administrative matters. These will include recruitment, disciplinary action,
monitoring of absences and holidays, maintaining personnel files, alarms and
fire systems and the general overseeing of all staff including reception, head
office, studio and newsroom. You must be able to work well under fast and
sometimes demanding conditions and be able to make fast sound decisions as and
when required.
JOB DESCRIPTION
1.
To liaise between CEO
and Management.
2.
To monitor staff
timekeeping and absences.
3.
Arrange internal and
external meetings.
4.
To take care of all
recruiting requirements and all follow up procedures including probationary
meetings, appraisals and disciplinaries.
5.
To maintaining HR
records and management systems.
6.
To assist in processing
incoming and outgoing correspondence and emails on a daily basis.
7.
To liaise with
suppliers, research the procurement of goods and services and arrange the
provision of office materials and equipment (stationary, cleaning
products, ink cartridges etc)
8.
To ensure that all
premises are well maintained. To oversee all managers to ensure there are no
issues with staff or equipment and therefore ensuring Islam Channel provides a
safe working environment for employees and volunteers.
9.
To organise, manage and
review photocopiers, printers, alarm systems and fire systems.
10.
To ensure all contracts
and all personnel files are well maintained and updated regularly.
11.
To oversee drivers and
vehicle maintenance.
12.
To arrange transport as
and when needed.
13.
To ensure updating
health and safety policies and ensure that they are observed as per
legislation.
14.
To hold meetings with
senior management to review over all performance of office and office staff.
15.
To ensure adequate staff
levels are maintained at all times to cover for holidays/absences.
16.
To carry out all
necessary procedures with both volunteers, interns and work experience
students.
17.
To proactively involve
in management discussion on the organisation’s policies and strategic
development.
18.
To maintain a reliable
and fast response to all telephone, email and other enquiries from the general
public.
19.
To oversee that expenses
and salaries are paid on time and prepare payroll for Accounts to indicate any
necessary deduction or extra days worked.
20.
To check all transport
invoices and make sure that all transport charges are correct and have been
authorised before passing on to Accounts.
21.
To support, guide and motivate the Office
Management team and all staff and maintain a good level of staff morale.
22.
To liaise between the
CEO and staff regarding any personnel issues.
23.
To support Islam Channel
at all times and to ensure the confidentiality of the affairs of the Channel at
all times.
